Live Teacher Training Events (in-person and/or virtual) Terms & Conditions
Please read the following terms and conditions carefully, as they constitute a legally binding agreement between you (“Participant”) and Essentrics®/The Esmonde Technique (“Organizer”). By completing your registration and making payment for the training event, you confirm that you have read, understood, and agreed to these terms and conditions in their entirety. Participation in the training event is expressly conditioned upon your acceptance of this agreement.
1. Eligibility Requirements
To attend an Essentrics® Live Teacher Training Event (in-person and/or virtual), you must meet the following criteria before booking:
- Have purchased the Certification materials required for the live teacher training.
- Fulfill all necessary prerequisites and requirements specified for each event, as outlined in the event description or communicated during registration.
Essentrics® reserves the right to verify eligibility by reviewing provided documentation, confirming prerequisites, or contacting participants directly. Access to the event may be denied if any information provided during registration is found to be inaccurate or incomplete. Failure to meet these eligibility requirements may result in denied access to the event without a refund.
2. Medical Clearance
Participation in Essentrics® classes and training events is undertaken at your discretion and responsibility. Essentrics®/The Esmonde Technique is not liable for any injuries, losses, or damages that may occur during the duration of the training event. If you have any pre-existing medical conditions, concerns, or injuries, you are strongly advised to consult with your physician to ensure that participation in Essentrics® classes & training is safe and appropriate for you. Please inform your instructor in advance, either in writing or verbally, of any known health limitations or conditions that may affect your ability to participate safely.
3. Payment Terms
- All event fees must be paid in full at least 10 days prior to the event date to secure your spot.
- Payments are accepted via credit card or other approved methods listed during registration.
- Additional charges, such as currency conversion or late registration fees, are the participant's responsibility.
By completing payment, participants agree to all Terms & Conditions outlined in this document.
4. Recording of the Event
Unless explicitly stated in the event product description, Essentrics®/The Esmonde Technique does not provide participants with recordings after events or sessions. Unauthorized recording of event content, in any form, is prohibited. Participants who record will be removed from the event without compensation.
5. Cancellation Policy
Live Virtual Teacher Trainings
- Trainings of 5 hours or less: Refunds are available up to 15 days before the event date, minus a $50 administrative fee. No refunds are issued after the 15-day threshold.
- Trainings of more than 5 hours: Refunds are available up to 15 days before the event date, minus an $85 administrative fee. No refunds are issued after the 15-day threshold. In specific cases and at the discretion of Essentrics®, the paid amount may be applied toward a future event of equal or greater value.
Live In-Person Teacher Trainings
- Trainings of 5 hours or less: Refunds are available up to 30 days before the event date, minus a $50 administrative fee. No refunds are issued after the 30-day threshold.
- Trainings of more than 5 hours: Refunds are available up to 30 days before the event date, minus an $85 administrative fee. No refunds are issued after the 30-day threshold. In specific cases and at the discretion of Essentrics®, the paid amount may be applied toward a future event of equal or greater value

6. Cancellations or Rescheduling by Essentrics®
Force Majeure
Essentrics® shall not be liable for any delay in performance or non-performance of its obligations under this Agreement caused by events beyond its reasonable control, including but not limited to:
- Natural Disasters: Earthquakes, hurricanes, floods, tornadoes, wildfires, etc.
- Pandemics/Epidemics: Outbreaks of infectious diseases, including but not limited to, pandemics, epidemics, and public health emergencies.
- Government Actions: Acts, decrees, laws, regulations, orders, or restrictions of any governmental authority, including but not limited to, lockdowns, travel bans, quarantines, and state of emergencies.
- Civil Disturbances: Riots, wars, hostilities, terrorism, and acts of civil unrest.
- Acts of God: Other unforeseeable and uncontrollable events, such as extreme weather conditions, power outages, and acts of sabotage.
Event Cancellation/Rescheduling Due to Force Majeure
In the event of a Force Majeure, Essentrics® will prioritize rescheduling the event within the following 12 months. If rescheduling is not possible within this timeframe, participants will receive a full refund of the event fee.
Except as expressly stated above, no refunds will be issued for event fees in the event of a Force Majeure.
If Essentrics® cancels or reschedules an event for reasons other than Force Majeure, participants will be offered the following options:
- Attendance at a rescheduled event on a future date.
- A full refund of the event fee.
Essentrics® is not responsible for any travel-related expenses resulting from an event being cancelled or rescheduled, including but not limited to:
- Transportation costs: Airfare, train tickets, ground transportation.
- Accommodation costs: Hotel bookings, lodging expenses.
- Travel insurance: Participants are strongly encouraged to purchase travel insurance to cover potential losses due to unforeseen events. We also recommend purchasing refundable accommodations and transportation.
7. Rooming and Board for In-Person Events
Participants are responsible for arranging and paying for their accommodations unless explicitly stated otherwise. Information about recommended hotels or partner venues will be provided on the website to assist with arrangements.
Essentrics® is Not Responsible for:
- Room, board, or related fees.
- Accommodation cancellations, refunds, or changes.
- Payment disputes, dissatisfaction with lodging, or issues with amenities.
- Flight cancellation fees or any travel refund, change or cancellation fees.
Participants are encouraged to:
- Retain all booking confirmations and receipts.
- Purchase travel insurance to cover potential disruptions or losses. We recommend booking refundable accommodation and transportation.
- Confirm accommodations well in advance to avoid last-minute issues.
If meals are provided, dietary restrictions or allergies must be disclosed during registration. Essentrics® will attempt to accommodate requests, but some limitations may apply. When meals are not included, participants are responsible for their own food and beverages.
8. Code of Conduct
To ensure a positive learning environment, all participants are expected to adhere to the following: General Behavior:
- Treat all individuals, including instructors, staff, and fellow attendees, with respect and courtesy.
- Foster a positive and supportive environment.
- Avoid behavior that compromises the safety, comfort, or enjoyment of others.
Prohibited Conduct:
The following behaviors are strictly prohibited:
- Harassment: Verbal, physical, or psychological intimidation, including bullying or inappropriate electronic communications.
- Discrimination: Any behavior that treats others unfairly based on race, gender, religion, disability, or other personal characteristics.
- Disruptive Behavior: Excessive noise, interruptions, or failure to follow agreed-upon guidelines.
Enforcement:
Essentrics® reserves the right to:
- Remove participants from the event without warning if their behavior violates this Code of Conduct.
- Deny registration for future events to individuals found in breach of the Code of Conduct.
- Take additional actions as necessary, including legal action.
9. Activity Participation
Participation Guidelines
- Arrive punctually for scheduled activities.
- Follow instructor guidance to minimize risk.
- Notify instructors if experiencing discomfort or difficulty.
Activity Waiver
By participating in any Essentrics® class or event, I acknowledge and agree to the following:
Inherent Risks: I understand that fitness activities, including Essentrics®, involve inherent risks of injury, including but not limited to:
-Muscle strains or sprains
-Joint pain or discomfort
-Cardiovascular incidents
-Falls or slips
-Other unforeseen injuries
Assumption of Risk: I voluntarily assume all risks associated with my participation, including the risks of injury, illness, or other harm that may occur during or in connection with any Essentrics® class or event.
Release of Liability: I hereby release and hold harmless Essentrics®, its affiliates, instructors, organizers, and any other parties involved in the provision of Essentrics® classes or events from any and all claims, demands, and causes of action arising out of or relating to my participation, including but not limited to claims for negligence, except for claims arising from gross negligence or willful misconduct.
Medical Conditions: I understand that it is my responsibility to consult with my physician before participating in any fitness activities, especially if I have any pre-existing medical conditions or concerns.
10. Video & Photography Policy
Virtual Events:
Recording (audio, video, or photography) or reproducing event content without prior permission is strictly prohibited.
In-Person Events:
- Recording is prohibited except for brief segments (30 seconds maximum) intended for social media with the hashtag #Essentrics.
- Posts must exclude proprietary or sensitive content.
- Essentrics® reserves the right to request the removal of any non-compliant posts.
11. Photography/Digital Footage Release Waiver
By attending an event, participants grant Essentrics® The Esmonde Technique the irrevocable right to use any photographs or videos taken during the event for marketing purposes, including but not limited to use on Essentrics.com or other electronic media. Participants waive any rights to review, royalties, or compensation for using such materials.
If you wish to opt out, please notify Essentrics® in writing at least seven (7) days prior to the event, specifying your request and providing identifying information for the event in question.
12. Intellectual Property
All content, materials, techniques, and information presented during the event are the exclusive intellectual property of Essentrics®/The Esmonde Technique. Unauthorized reproduction, reuse, reformulation, or commercialization of this content is strictly prohibited and will result in legal action.
13. Liability Disclaimer & Assumption of Risk
Essentrics®/The Esmonde Technique (hereinafter "Essentrics") is not liable for any damages arising from event participation, including but not limited to:
- Direct Damages: Such as injuries sustained during the event.
- Indirect Damages: Such as lost wages or missed business opportunities due to event participation.
- Consequential Damages: Such as missed flights, hotel cancellation fees, or other travel-related expenses incurred due to event rescheduling or cancellation.
Assumption of Risk
Participants acknowledge and assume all risks associated with event participation, including but not limited to:
- Travel Risks: Such as transportation delays, accidents, and unforeseen travel disruptions.
- Physical Activity Risks: Including the possibility of injury, regardless of fitness level.
- Group Event Risks: Such as the potential for exposure to contagious illnesses.
Limitations of Liability
Essentrics® is not responsible for:
- Injuries or Illnesses: Sustained by participants during or after the event.
- Personal Losses: Including the loss of personal belongings.
- Travel Disruptions: Including flight delays, cancellations, or other travel-related issues.
- Actions or Omissions of Third Parties: Such as transportation providers, accommodation providers, or other vendors.
14. Participant Information and Privacy
Data Use
Participant data will be used solely for event administration in compliance with applicable privacy laws. Essentrics® will process participant data in accordance with applicable privacy laws.
Confidentiality
Personal details shared during the training event must not be used for solicitation or unauthorized purposes.
15. Schedule Changes
Right to Modify
Essentrics® reserves the right to adjust the training event schedule before or during the event to enhance the experience. Participants are expected to remain flexible and cooperative with any adjustments made to the schedule.
16. Event Host and Instructors
Instructors
All Hosts, Educators and instructors are highly qualified and selected by Essentrics®. Substitutions may occur if necessary. Instructor Responsibility Instructors will guide participants safely through activities. Participants should communicate any concerns or limitations during the training event.
17. Accessibility and Special Requirements
Essentrics® strives to provide an inclusive environment for all participants. If you require specific accommodations, please contact events@essentrics.com at least two weeks before the event. We will make every effort to address your needs.
18. Changes to Terms and Conditions
Essentrics® reserves the right to modify the terms and conditions of its events, including cancellation and rescheduling policies, upon reasonable notice to participants. Any such changes will be communicated via email and/or the event website. By registering for an event, participants agree to be bound by the terms and conditions in effect at the time of their registration.
